Anna-Motion Terms & Conditions

Introduction

Welcome! We're so pleased you're considering joining us. These Terms & Conditions explain what you can expect from Anna-Motion Retreats and what we kindly ask of you in return. Please read them carefully before booking.

We aim to keep things clear, fair, and respectful. If anything feels unclear or you’d like to ask a question, please don’t hesitate to get in touch.

By paying a deposit or full amount, you’re agreeing to the terms below.  They form an integral part of our contract with you.

1. Booking and Payments

  • You can book your place at any Anna-Motion retreat through our website: https://www.annamotionretreats.com or annastephens73@outlook.com

  • non-refundable deposit is required to secure your space. The remaining balance must be paid no later than 60 days before your retreat begins, unless otherwise agreed.

  • Your booking is only confirmed once you’ve received a written confirmation from us.

  • We may need to adjust the retreat price before you travel if exchange rates change by more than 2% and affect our costs. Any increase will be capped at 10%.

  • The person booking must be 18 or over and have permission to do so. 

  • Please don’t book your flights until you’ve received a confirmation email from Anna-Motion.

  • If full payment isn’t received on time, we may treat your booking as cancelled and offer your place to someone else. If the place is rebooked, we’ll refund the deposit that you’ve paid—minus a small admin fee.  We can’t, of course, guarantee that someone else will take your place.

2. Cancellations and Refunds

If You Cancel

We understand that plans can change. If you need to cancel:

  • More than 60 days before the retreat start date: You’ll forego your deposit. We’ll offer your place to someone else.  If the place is rebooked, we’ll refund the deposit that you’ve made – minus a small admin fee.  We can’t, of course, guarantee that someone else will take your place.

  • Between 31 and 60 days before: You’ll receive a 50% refund of the total amount you’ve paid, or you may transfer your place to a future retreat, subject to availability and you paying any increase in the retreat costs.

  • 30 days or fewer before the retreat: Unfortunately, we can’t offer a refund, as your space will have been held exclusively for you and costs are already committed.

We require that you purchase comprehensive travel insurance that covers cancellations due to illness, injury, bereavement, travel disruption, or other unexpected issues.

If We Cancel

If we ever need to cancel due to low numbers, illness, extreme weather, or unforeseen circumstances:

  • We’ll offer a full refund or the option to transfer your booking to another retreat.

  • Please note, we’re not responsible for any additional costs you’ve incurred, such as flights, transport, or accommodation outside of the retreat package.

  • If changes are made by the venue(s) we use for the retreat, we can’t be held responsible for any such changes as they are out of our control.

3. Health, Safety and Responsbility

Your safety and wellbeing are very important to us, but participation is at your own risk.

  • You must let us know in advance of booking about any injuries, physical limitations, pregnancy, or mental health concerns that may affect your ability to take part.  [We can discuss this with you in confidence and advise you on whether we think the retreat will be suitable for you.

  • It’s your responsibility to check with your doctor if you’re unsure whether the retreat is suitable for you.

  • Our team will always offer modifications and alternatives, but you are responsible for listening to your body and working within your own limits.

We reserve the right to refuse participation in any activity if we believe it could compromise your safety or that of others.

4. Insurance

We require all guests to take out suitable travel insurance before attending an Anna-Motion retreat.

Please ensure your policy covers:

  • Trip cancellations

  • Medical treatment

  • Lost or stolen belongings

  • Adventure or fitness-based activities (e.g., yoga, hiking)

  • Supplier cancellation

Anna-Motion is not liable for any loss, damage, or costs you may incur in relation to these areas.

For UK residents: Please check that your EHIC is valid for your travel dates. If not, apply for a GHIC instead. It covers medical treatment in Europe, but not ambulance services or hospital accommodation charges.

5. Changes to the Retreat Schedule

Sometimes, things change—and we appreciate your flexibility.

  • We may need to make small changes to the retreat schedule, accommodation, instructors, or venues due to weather, illness, or other practical reasons.

  • Any significant changes will be communicated to you as early as possible.

  • In the unlikely event of major changes that affect the retreat experience, we will offer fair alternatives or the option to defer.

6. Your Conduct and Community Guidelines

We create spaces that are supportive, inclusive, and respectful.

By joining our retreat, you agree to:

  • Treat everyone—fellow guests, staff, and locals—with kindness and respect.

  • Refrain from disruptive, aggressive, or inappropriate behaviour.

  • Respect local law, customs and environments.

If we believe your behaviour is putting others at risk or negatively impacting the retreat, we reserve the right to ask you to leave. In this case, no refund will be given.

7. Travel

You’re responsible for your own travel arrangements and costs.

Please check that your passport, visas, and any other travel documents are valid for your destination. Please check the UK (or your own government’s) website for the latest travel advice, including on passports and visas (www.gov.uk/foreign-travel-advice)   

Some countries may require vaccinations—please check with your GP in good time before you travel.

Anna-Motion won’t accept responsibility for travel delays, cancellations, or issues with your travel documents or vaccinations.

Flights, transfers, visas, travel insurance and other transport costs are not included in the retreat price unless we’ve said otherwise.

8. Food, Allergies and Substances

Anna-Motion will provide meals as described, but we cannot guarantee allergen-free preparation. You are responsible for managing any dietary or medical needs. If you are taking medication, you must bring enough of it with you for the duration of the retreat.  The use of illegal drugs or excessive alcohol is not permitted during the retreat, and we reserve the right to ask anyone to leave if their behaviour puts themselves or others at risk.

9. Photography and Media

We occasionally take photographs or short videos during the retreat to share the joy and spirit of the experience on our website and social media.

  • We always aim to be discreet and respectful.

  • If you’d prefer not to appear in any promotional material, simply let us know by email before the retreat or speak to your host during your stay.

10. Liability and Assumption of Risk

When you attend an Anna-Motion retreat, you understand and agree that:

  • You’re voluntarily participating in physical and group activities, which carry risks (including serious injury or illness).

  • Anna-Motion, its facilitators, and venue partners are not responsible for any death, injury, loss, damage, or accident howsoever occurring during your time with us, except in cases of proven negligence.

  • You agree to release and hold harmless Anna-Motion from any liability for personal injury, illness, death, loss, or damage howsoever occurring, except in cases of proven negligence.

You attend at your own risk and are responsible for your decisions during the retreat.

11. Force Majeure and Special Circumstances

We do our best to ensure your retreat runs smoothly. However, sometimes events occur that are completely out of our control.

Anna-Motion is not liable for cancellations, delays, changes, or failure to perform any part of the retreat caused by circumstances such as:

  • Natural disasters (e.g., earthquakes, floods, fires)

  • War, terrorism, civil unrest

  • Global pandemics or public health emergencies

  • Government restrictions or travel bans

  • Strikes, transport disruptions, or venue closures

In these cases, we will:

  • Make every effort to rearrange, reschedule, or offer you a credit for a future retreat.

  • Communicate any changes clearly and in good time.

Refunds may not be possible under force majeure conditions, but we will always aim to treat you fairly and find flexible solutions wherever we can.

12. Feedback and Complaints

We want every retreat to feel uplifting and positive—but if something doesn’t feel right, we encourage open communication.

  • If an issue arises during your retreat, please speak with your host as soon as possible so we can resolve it quickly and fairly.  

  • If you’d like to make a formal complaint after your retreat, please email us at Retreat@anna-motion.com within 14 days. We aim to respond within 5 working days.

13. Governing Law and Dispute Resolution

Anna-Motion’s contract with you and these Terms & Conditions are governed exclusively by the law of England and Wales. Any dispute, howsoever arising, which cannot be resolved amicably shall be resolved in the courts of England and Wales.
